The Department of Energy (DOE) has established requirements and guidelines for Laboratory participation in events. These requirements ensure good stewardship and appropriate use of federal funds.
INSTRUCTIONS FOR EVENTS: CONFERENCES / WEBINAR / SEMINAR / SYMPOSIUMS:
- To attend an event, obtain Department Head approval and once approval is obtained submit the request & PDF copy of email approval through the EHS Admin Help Desk along with completed DOE Event Approval Request for EHS (ONLY).
- The EHS Admin POC will review the form for completeness and will enter the event into the Attend Event Request (AER) database for DOE review.
- When Conference Services (OCFO) and DOE have reviewed the event, the EHS Admin POC and requester will be notified via email on the status of the request (approved, denied or exempt).
- When a requester has received approval from Conference Services, request travel arrangements via the EHS Admin Help Desk to including a PDF copy of the approval email from Conference Services.
- When your trip concludes, submit your travel receipts to the EHS Admin Help Desk for reimbursement.
JOB REQUIRED TRAINING: If this is a job required training this can be submitted directly to the EHS Admin Help Desk with Department Head PDF copy of email approval attached. For example, HAZWOPER training is a job required training and can be submitted through the EHS Helpdesk without the DOE approval.

- To attend the Job Required Training, submit the request to EHS Admin Help Desk, attaching a PDF copy of email approval from Department Head and any other relevant documentation.
- When your trip concludes, submit your travel receipts to the EHS Admin Help Desk for reimbursement.
